Please be sure you read & understand these Terms & Conditions prior to reserving your room.  

There are different policies depending on your reservation dates. 

Standard and Antique Show Dates Policies:

 

Check-In / Check-Out Times: (Standard or Non-Antique Show Dates)

     Check-In:  3PM

     Check-out:  11AM

We do not have a 24-hour check-in desk.  We ask that you plan to check-in to your room between 3PM & 7PM on your scheduled day of arrival.   

If you plan to arrive later than 7pm, please call ahead and let us know so that we may coordinate your arrival time. A guest who does not discuss late arrival arrangements will be assumed to “NO SHOW” at 7PM.  Host/Owner retains the right to re-sell room if a “NO-SHOW” occurs and presume guest will not be staying the remainder of nights as well. “NO SHOW” guests are also NOT entitled to any refund whatsoever. Check-In / Check-Out Times: (Antique Show Dates) 

     Check-In:  4PM

     Check-out:  10AM

We do not have a 24-hour check-in desk.  We ask that you plan to check-in to your room between 4PM & 7PM on your scheduled day of arrival. 

We have a large volume of check-ins and check-outs and need additional time for room cleaning between guests.  Please understand and respect that we absolutely cannot accommodate early check-ins and late check-outs for any reason during Antique Show Dates.  

Communication is very important.  If you plan to arrive later than 7pm, please call ahead and let us know so that we may coordinate your arrival time.

A guest who does not discuss late arrival arrangements will be assumed to “NO SHOW” at 7PM.  “NO SHOW” guests are also NOT entitled to any refund whatsoever.  NO EXCEPTIONS!!

If you are in town early in the day, please stop by to sign your guest registration paperwork. 

Host/Owner retains the right to re-sell room if a “NO-SHOW” occurs @ 7PM and presume guest will not be staying the remainder of nights as well.  

Credit card payments are required for all reservations.  You will also need to present a valid ID and a credit card to be held on file for accidental damages. 

No room keys will be issued without a credit card on file.  NO EXCEPTIONS!

 

Cancellation Policies for Standard or NON-Antique Show Dates:  

Any changes to standard reservations will require a $25 Service Fee

Standard Reservation / Non-Antique Shows:

          14-day Standard Advance Cancellation Policy for Non-Antique Show.

          Inside 14 day cancellation window, reservation is Non-Refundable.

          Reservation may be refunded greater than 14 days, less a $25 fee.

 If you are a “NO SHOW“, your reservation is also NON-REFUNDABLE. NO EXCEPTIONS!!  Host retains the right to re-rent remaining nights of a multiple night reservation in the event of a “NO SHOW”.

Some special events are sold as Non-Refundable throughout the year.  In this case, it will likely be the Wine Trail Weekend or a partnered packaged lodging and food or entertainment venue.  

 

 Antique Show Official Dates & Cancellation Deadlines:  

If your reservation falls on ANY night during the listed dates, the Cancellation Policy for Antique Show Dates are applied. 

 

Fall 2022 – October 13th – October 29th, 2022

          Cancellation 09/15/22

Winter 2023 – January 19th – January 21st, 2023

          Cancellation 12/15/2023

Spring 2023 – March 16th – April 1st, 2023

          Cancellation 02/15/2023

 

Fall 2023 – October 12th – October 29th, 2023

          Cancellation 09/15/2023

Winter 2024 – January 18th – January 20th, 2024

          Cancellation 12/15/2023

 

Cancellation Policy for Antique Show Dates:  

Cancellations for ANY dates for the Antique Show Dates listed above will be handled accordingly.  

If cancelling greater than 30 days BEFORE the official start of the show (the official hard cancellation dates for each show is listed above), we will issue you a COUPON CREDIT in the amount of your reservation minus a $50 processing fee. 

The processing fee covers our time and effort spent re-posting and advertising for a now empty room.

Your COUPON expiration date will cover the next 2 complete show dates. 

If cancelling on or after the listed cancellation date for each Antique Show, your reservation becomes completely NON-REFUNDABLE. 

 

NO SHOWS:

If you are a “NO SHOW“, your reservation is also NON-REFUNDABLE. NO EXCEPTIONS!!  Host retains the right to re-rent remaining nights of a multiple night reservation in the event of a “NO SHOW”.   If you will be arriving past the 7PM check-in time, you must communicate with us. 

Absolutely NO refunds will be applied back to credit card or cash refunds given for Antique Show dates.  NO EXCEPTIONS!! 

 

Reservation Changes:  

 You may make changes to your reservation within the same show dates for a $50 service fee. 

 You may add dates to your reservation for free.  We would love to have you stay longer. 

 

Lodging / Room Policies 

  • Free guest cargo trailer parking is available.
  • Breakfast coupons for Saturday and Sunday mornings are provided for each guest. 
  • Please use coasters provided to protect wood furniture in guest rooms.
  • Guests who choose to shorten their stay will still be responsible for the full reservation amount. 
  • A No-show on 1st night of multi-night rental, becomes non-refundable for ALL nights.
  • Extra guests are allowed for a $25 per person fee per night.  Guests are responsible for bringing their own blankets and pillows for the extra guests.  
  • We will provide the extra sheets & towels for any extra paying guest.
  • We do not have air mattresses or sleeping cots available for any extra guests. 
  • We do not provide daily housekeeping.   
  • If any additional supplies or linens are needed in the rooms, please ask us. 
  • We will be happy to provide any extra amenities you may need during your stay.
  • Well-behaved children with attentive parents are welcome.
  • We require a credit card on file for each guest room to be used in the event of accidental damage or terminal cleaning charges for smoking or pets in guestrooms. 
  • Damages to linens and furniture will be charged at replacement cost. 
  • A late check-out fee in the amount of $100 will be charged to the credit card on file if guest checks out after 11am.  
  • We need to ensure that our rooms are properly prepared for the next arriving guests.  

 

Taxes Not Included in Room Rate: 

          13% total: Texas = 6% & Round Top Town Tax = 7%

 

Non-Smoking & No PETS Policies: (STRICT POLICY)

We are very strict on this policy and will charge your credit card for violating this policy.  Please respect our property.

  • Every room on our property is non-smoking.
  • Smoking is not permitted on the deck, walkways or patio outside the rooms.  These are wooden buildings.  
  • Smoking is limited to outside area at the fire-pit in the back of the property only. 
  • If there is a  burn-ban is in effect for Fayette or Austin Counties, then NO smoking will be permitted anywhere on premises.  No Exceptions!  
  • Please dispose of cigarette butts appropriately.
  • Terminal cleaning for smoking in the rooms is charged to the credit card on file in the amount of $500.00
  • We have a strict NO PETS policy. No Exceptions!
  • NO PETS of any kind will be allowed in the guestrooms or on the property.  
  • A $500 cleaning fee will be charged to the credit card on file if it is discovered by management that a guest has brought a pet, or allowed one in the guestroom.

 

Lost or Stolen Items:

  • Coyote Station Lodging is NOT responsible for lost or stolen items.  
  • We will attempt to locate lost items and either hold for guest to pick up, or arrange for mailing item upon request. 
  • A charge of $25 handling fee plus any shipping costs will be required to be paid upon shipping request by credit card. 
  • A $25 fee will be charged to the credit card on file for lost or non-returned room keys. 

Disclaimers:

Principals/owners involved in owning and managing Coyote Station Lodging & Mesquite Mesa in Round Top, Texas are not responsible for accidents that may happen on or off the property.  Which means your own insurance will need to cover any expenses for emergency room, ambulance, doctors or hospital visits.

 

Guests are advised to have their insurances in order and to take all prudent action to avoid personal harm and injury to others. Please inform all persons in your party and guests of hazards they may not be aware of. The leasing guest is responsible for the care and safety of all minor children they bring to the property.  This property is NOT equipped for children. 

 Your understanding and cooperation in this matter is appreciated in advance.

 

We are NOT affiliated with any venues or events along the 20 mile strip.  We are an independent lodging facility with rentals available all year long. 

 There is still so much to see and do in the area despite any specific event cancelling. 

 

Effective August 1, 2020, A Force Majeure Clause does not apply to our lodging agreement policies.  Your agreement is with Coyote Station Lodging venue and applies only to this lodging venue.  NO Exceptions!  The only time a 100% COUPON credit for a NON-REFUNDABLE room will be when our Judge of Fayette County issues a complete shutdown of ALL hotel facilities in FAYETTE County Texas. It will only apply to the dates of the official ordinance issued.  In this case only, we will issue you a COUPON CREDIT for 100%.  There will be absolutely NO cash or credit card refunds given for any reason for a NON-REFUNDABLE reservations.  In this instance only, and by orders of the FAYETTE county JUDGE, will we give you a 100% COUPON CREDIT NO matter when you cancel your room.
